Relationship Documents

This article explains how document attachments work on relationships so that the paperwork behind a connection lives with the connection itself.

What Are Relationship Documents?

A relationship can carry documents — the agreement or instrument that evidences it. A loan agreement sits on the loan, a deed of guarantee on the guarantor link, a lease on the lease, a consent to act on a directorship, and so on.

A document can be an uploaded file (stored securely inside StructureGram) or a link to a document that lives somewhere else, such as SharePoint, Google Drive, or a document management system. Links open in a new tab; StructureGram stores only the URL, and access to the linked document is controlled by that system.

Not the same as Custom Links. Custom Links are labelled connector lines between entities on a diagram. The links described here are URL bookmarks to external documents.

Every relationship type supports documents. Earlier this was limited to a handful of "document-style" relationships; now any relationship — including family and ownership links — can hold files.

Document Types

Every relationship document — uploaded or linked — carries a document type, and the picker is context-sensitive: each relationship offers the documents that evidence it, with the most likely one pre-selected. For example: loans offer loan agreement, deed of variation, security deed and payout letter; directorships offer consent to act, appointment terms and resignation; trustee links offer deed of appointment and trust deed; shareholdings offer share certificate, shareholders' agreement and share transfer; spouse links offer financial agreement (BFA) — and a spouse relationship with an end date offers separation documents such as consent orders and divorce order instead.

Every context also offers Other, and you can change a document's type later from Edit details.

Supported Files

  • Formats: PDF, Word (.doc, .docx), plain text (.txt) and Markdown (.md).
  • Size: up to 25 MB per file.

Where You'll See Them

Documents are managed wherever you edit a relationship — see How to Attach Documents to a Relationship for the exact steps. Once a relationship has files, a paperclip appears in these places:

  • In lists — next to the relationship on an entity's page and in the Relationship Register. A number shows when there's more than one file.
  • In the related-document summary — entity pages group relationships that carry documents under Related relationship files & links without treating them as entity-owned files.
  • On diagrams — at the end of the link's label (for example, Trustee Of 📎). Click the link to open the Inspector, where you can view and manage its documents, or click the paperclip to open a document straight from the canvas. See Files and Links on Diagrams.

Privacy and Access

Uploaded documents are stored privately and are only reachable through the app, so they're never exposed by a public link. Uploading, replacing and removing documents (and adding, editing or removing links) requires permission to edit the relationship.
