How to Attach Documents to an Entity

This article explains how to add and manage documents on an entity so that its supporting paperwork stays with it. For background on document types and limits, see Entity Documents.

Before You Start

Make sure the entity already exists, and that you have permission to manage it. Documents can be PDF, Word, plain text or Markdown files, up to 25 MB each.

Upload a Document

  1. Open the entity's page.
  2. Find the Files & links section.
  3. Click Add, then Upload file.
  4. Choose the file from your computer.
  5. Optionally give it a title and pick a document type (for example, Trust deed).
  6. Click Upload.

The document appears in the Files & links section straight away.

Add a Link to an External Document

If the document lives somewhere else — SharePoint, Google Drive, a document management system — you can save a link to it instead of uploading a copy:

  1. Click Add, then Add link.
  2. Paste the document's URL (it must start with https:// or http://).
  3. Optionally give it a title and pick a document type.
  4. Click Add link.

The link appears alongside uploaded files and opens in a new tab. StructureGram stores only the URL — the document stays where it is, under that system's own access controls. If the document moves, use Edit details on the link to update its URL.

Download, Replace or Remove

From the Files & links section, use the actions next to each item to:

  • Download — open or save a copy of an uploaded file. (Links have Open link instead.)
  • Replace — upload a new version in place of the existing file (keeps it in the same slot). Links can't be replaced with a file — edit the URL instead.
  • Edit details — change the title, description, or (for links) the URL.
  • Delete — remove the item. Deleting an uploaded file permanently removes it from storage; deleting a link removes only the bookmark, not the document it points to.

What You'll See

Uploaded documents are listed with their title, type and size; links show the site they point to instead of a size. They're visible to anyone who can view the entity, and downloads stream securely through the app.
